Invoicing and payments

Invoicing, payment matching and VAT without retyping

Invoices are issued from orders, payments match themselves, and at the end of the month the data for your accountant and VAT is ready to download.

The path of one invoice
  1. Invoice issued from the order
  2. E-mail with a payment QR code
  3. Payment matched by reference
  4. Accounting data and VAT XML

What invoicing connected to your bank can do

An invoicing program issues the document. But the work does not end there: someone has to check whether the customer paid, send a reminder and pass the documents to the accountant. When invoicing is separate from orders and the bank, people do these steps.

In our system, the invoice is created directly from the order or project. The system pulls bank transactions, matches them by payment reference and marks the invoice as paid. Your accountant receives invoices as Pohoda XML or ISDOC. For Czech VAT, the system prepares the VAT ledger and XML files for the VAT return, control statement and EC Sales List.

Accounting and the actual tax filing stay with you and your accountant. The system prepares the data so that nobody has to retype it.

Does this sound familiar?

Every morning you check the statement to see who has paid.

You write invoices by hand based on orders.

Before the VAT deadline you merge exports in Excel.

Your accountant asks which documents are missing.

What the system does

Invoices from orders

Issued automatically when an order changes status. Number series, PDF and e-mail delivery.

All common documents

Invoice, advance and proforma invoice, credit note and receipt.

QR payment

A QR code on the invoice and in the e-mail, so customers pay without typing numbers.

Payment matching

Fio bank transactions sync automatically; statements from other banks (such as ČSOB and KB) are imported. Payments are matched by reference.

Payment gateways

GoPay, Comgate and Stripe. Card payments, recurring payments and refunds.

Received invoices

Supplier invoices with approval and due-date tracking.

Foreign currencies

Invoices in EUR and USD with the daily Czech National Bank rate. EU VAT numbers checked in VIES.

Czech VAT

VAT ledger and XML for the VAT return, control statement and EC Sales List, validated against the official schema and ready to upload.

What your accountant receives

You do not have to change your accountant or their software. We deliver the data in the format they work with.

  • Invoices as Pohoda XML (data package)
  • Invoices as ISDOC 6.0.2
  • Invoice export as CSV and PDF in one archive
  • VAT ledger as PDF
  • XML for the VAT return, control statement and EC Sales List
  • Any other format by agreement

What you can rely on

A system we know inside out

We have been developing and running it for 8 years. When you need a change, you do not have to chase a third-party vendor.

Your data stays yours

We hand your data over at any time in the format you need. Invoices can also be exported for Pohoda and as ISDOC.

You pay for what you use

A one-off implementation plus a monthly fee based on the features and volume you use. Parts you do not use cost nothing.

Every change is traceable

The system records who changed what and when, including automated steps. Each user only sees what their role allows.

Frequently asked questions

Does invoicing in the system replace accounting software?+

No. The system issues and records documents, matches payments and prepares VAT data. Your accountant receives invoices as Pohoda XML or ISDOC, or in another agreed format, and keeps doing the bookkeeping.

Which banks can you connect?+

Fio bank transactions are downloaded automatically and continuously. For other banks, such as ČSOB and KB, statements are imported. Matching by payment reference works the same for all of them.

Can I invoice abroad and in euros?+

Yes. You can issue invoices in EUR or USD with the daily Czech National Bank rate, and foreign VAT numbers are checked in VIES. Other VAT rates, such as Swiss VAT, can be configured too.

Does the system file the VAT return for us?+

No. The system prepares the XML for the VAT return, control statement and EC Sales List, validated against the official schema. You or your accountant upload them and remain responsible for the filing.
