Business automation

Orders, inventory, invoices and payments in one system

We connect your e-shop, warehouse, invoicing and bank in one system that handles routine steps on its own. You only deal with exceptions. We have been developing and running the system ourselves for 8 years.

What business automation means

Business automation means that the repetitive steps between an order, the warehouse, the invoice and the payment are done by the system, not by people. The order updates stock, the invoice is issued, the payment is matched and your accountant receives the data without anyone retyping it.

Most companies use five or more tools: an e-shop, a stock spreadsheet, an invoicing program, online banking and e-mail. Between them sits a person copying data. That is where errors appear and hours disappear.

We connect these parts in one system with one database. We have been developing and running it for 8 years, so you do not start from scratch: bank connections, payment gateways, carriers and Czech tax formats already work. We set it up for your company, migrate your data and add what only you need.

Where companies lose the most time

Orders are retyped by hand from the e-shop or e-mail into another program.

The stock spreadsheet does not match what the website shows.

Every morning someone checks the bank statement to see who has paid.

Before the VAT deadline, exports are merged and fixed in Excel.

What one order looks like

Using an e-shop as the example. It works the same way for a phone order, a booking or a project.

Nobody retypes anything. People only handle exceptions: a complaint, an unpaid order or a missing item.

  1. 1

    The order arrives

From the e-shop or entered by hand. Czech business customers are filled in from the ARES registry.

  2. 2

    Goods are reserved

Stock is deducted from available quantity so nothing is sold twice.

  3. 3

    The payment is matched

Card payments via the gateway instantly, bank transfers by payment reference after the bank sync.

  4. 4

    The invoice goes out

Issued from the order and sent by e-mail with a QR code for payment.

  5. 5

    The goods ship

Packeta label and an e-mail to the customer with the shipment status.

  6. 6

    Stock is monitored

When an item drops below its limit, you get an alert.

  7. 7

    The month closes

The VAT ledger and XML files for the VAT return and control statement are ready to download.

Divadelní služby Plzeň

Stage equipment e-shop: moving off Shoptet

Divadelní služby Plzeň sells stage equipment and materials. We moved their e-shop from Shoptet to our system: products with variants, customers, order history, payments and Packeta shipping, in four languages. For the sales team we built a quoting tool on top of the system that turns subcontractor budgets from PDF or Excel into a priced offer.

How we start

1

Operations audit

We map how orders and money move through your company and show where data is retyped most.

2

Proposal

We agree what to connect first, starting with what saves the most time.

3

Setup and data migration

We migrate products, customers and history and connect your bank, gateways and carriers.

4

Launch and training

We launch in stages and train your team on your own data.

5

Operation

We run and update the system and add further parts as you need them.

What you can rely on

A system we know inside out

We have been developing and running it for 8 years. When you need a change, you do not have to chase a third-party vendor.

Your data stays yours

We hand your data over at any time in the format you need. Invoices can also be exported for Pohoda and as ISDOC.

You pay for what you use

A one-off implementation plus a monthly fee based on the features and volume you use. Parts you do not use cost nothing.

Every change is traceable

The system records who changed what and when, including automated steps. Each user only sees what their role allows.

Frequently asked questions

Do I have to replace my e-shop to automate?+

Not necessarily. We can connect your existing e-shop to our system via API or migrate it completely. Which makes more sense becomes clear in the operations audit, based on how much work you do by hand today and what your current shop cannot do.

Does the system replace accounting software?+

No. The system handles orders, stock, invoicing, payments and VAT records, and prepares the data for your accountant: invoices as Pohoda XML or ISDOC, the VAT ledger and XML for Czech VAT filings. Bookkeeping and the actual tax filing stay with you and your accountant.

How much does it cost?+

You pay a one-off implementation (setup, data migration, integrations and training) and a monthly fee based on the features you use and the volume. We prepare a specific price after the operations audit, once we know exactly what we are connecting.

What if we want to leave? Is the data ours?+

The data is yours. We hand it over at any time in the format you need, including products, customers, orders and documents.

Whose system does it run on?+

Ours. We have been developing and running it for 8 years. Operation, updates and changes are handled by one team that knows the system in detail, not by several vendors.

Can a small company without IT staff manage it?+

Yes. We set up the system, migrate the data and train your team on your own data. We take care of operation, updates and backups. You can start with one part, such as invoicing, and add others later.
